Why cant I see a shared calendar?

At the University of Pennsylvania, our Office365 users suddenly lost "edit" access to the shared calendars they had previously set up in their O365 calendars. The calendars still appeared, they just weren't modifiable. This is a huge deal, because we schedule many public spaces and manage staff schedules through shared calendars.


The cause?

The issue seems to be tied directly to "The new Outlook" option being enabled in the online version of O365 (http://outlook.office365.com). Users who are NOT using "the new outlook" are not affected. Apple Calendar users, who have their O365 calendars set up, also do not seem to experience issues. Very strange.

I took a look at the shared calendar account these folks were trying to access (which did have "the new outlook" enabled and most of the user permissions had been partially wiped!

What the heck!


The fix?

Note: Make sure "the new outlook" is enabled in both O365 wemail AND calendar.

 

I found that re-adding a user's permissions to the source calendar (visit the source calendar that is being shared -> right click on the calendar name -> "Sharing and permissions") will trigger an email to the user about their "new" permissions to the shared calendar. If they click the "Accept" link in the email notification they receive (from within the ONLINE version of Outlook at http://outlook.office365.com), followed by a browser refresh, they're back in business.

My calendar suddenly stopped appearing on my iPhone. I've had the calendar for more than 10 years. It was originally set up when only my husband had an iPhone. He "shares" the calendar with me. But as of this morning, it is missing. What would have caused the calendar to disappear from my iPhone. I can see my calendar on my husband's phone and it says that it is shared with me.

Reset the Home Screen Layout:

One thing to do is reset the Home Screen layout. By performing that, things will be placed back to how they should be.

  1. Go to: Settings
  2. Tap: General
  3. Tap: Reset
  4. Tap: Reset Home Screen Layout


As to what it would disappear, sometimes changes are made by third party apps, but no one here would know.

If multiple users need to work on the same calendar, Outlook gives you the option to share it. But when you click on the “Accept” button, an error message may show up that says Outlook could not connect you to the shared calendar. More specifically, the message reads as follows: “There was a problem connecting you to the shared calendar. Please ask the person who invited you to send another sharing invitation“. Follow the troubleshooting steps below to solve the problem.

Use Outlook on a Different OS

Check if you can access the shared calendar using Outlook on the Web or the Outlook app for macOS and iPhone. The errors and glitches affecting Outlook on Windows don’t usually show up on other operating systems. If the error message persists, go to the next step.

Import the Shared Calendar from Directory

If you’re using Outlook for the Web, try accessing the shared calendar from the Directory folder. Sign in to your account, select Calendar, and then right-click on Other Calendars. Select Open Calendar, and go to the Directory folder. Locate the shared calendar you want to open and hit the Open button.

Alternatively, you can also go to Calendar and select Import Calendar. Then, import the shared calendar directly from the Directory folder. Use the search field to search for the email account of the calendar owner.

Install the latest Office updates if you’re using Outlook as part of the Office Suite.

  1. Launch any Office apps and click on the File menu.
  2. Then, go to Account.
  3. Select Update Options.

If nothing works, create a shared mailbox and use PowerShell to assign the calendar permissions. Shared mailboxes also include a shared calendar that multiple users can add their appointments and schedule activities.

Conclusion

If Outlook says, there was a problem connecting you to the shared calendar, check if the option works on Outlook on the Web. Then, import the shared calendar directly from the Outlook Directory. Additionally, update and repair your Office files. If the problem persists, create a shared mailbox with a shared calendar.
